EU AI Act: Is Your Organization Ready?

‍

Your employees are already using AI. Can you demonstrate that your organization is using it responsibly and meeting its EU obligations?

‍

AI adoption is accelerating.

‍

Across organizations, employees are using ChatGPT, Microsoft Copilot, and other AI tools to write reports, analyze information, support decisions, and automate everyday work.

Some use approved tools. Others experiment independently. Many are unaware of the risks associated with sharing confidential information, trusting AI-generated answers, or using AI in decisions that affect customers and colleagues.

‍

The question is no longer whether your employees use AI. It is whether your organization is sufficiently prepared.

‍

And with the EU AI Act now in effect, that question has become more important than ever.

‍

The EU AI Act is no longer a future concern

‍

Since February 2, 2025, Article 4 of the EU AI Act has required organizations providing or deploying AI systems to take measures that support AI literacy among relevant staff and others using AI on their behalf.

Supervision and enforcement of applicable provisions began in August 2026.

The requirements are proportionate to the organization's activities, its employees' knowledge and experience, and the context in which AI is used. They don't prescribe one mandatory training course or certification.

But they do raise an important question:

‍

If someone asked you tomorrow what your organization has done to prepare employees for responsible AI use, what could you show them?

‍

A general awareness email? A few enthusiastic AI users? Perhaps an internal policy that employees haven't read?

Or a structured approach, with relevant training, clear guidance, and documented actions?

‍

Five questions every organization should be able to answer

‍

  1. Do we know how AI is being used? Which tools are employees using, for what purposes, and with what potential risks?
  2. Are our people AI-literate? Do employees understand AI's capabilities, limitations, potential biases, and risks?
  3. Do we have clear guidelines? Do employees know what information they may share, when human review is necessary, and which AI applications require additional safeguards?
  4. Are we preparing different roles appropriately? A manager using AI to support decisions faces different challenges from a Product Owner, HR professional, or AI developer.
  5. Can we demonstrate what we've done? Are training activities, guidance, responsibilities, and improvement actions documented?

‍

If several answers are unclear, it may be time to move from informal AI experimentation to a more structured approach.

‍

From uncertainty to AI readiness

‍

At AgileVisor, we believe responsible AI adoption should enable innovation, not slow it down.

That's why we help organizations combine AI literacy, practical skills, and responsible adoption in a coherent approach.

‍

Our proposed EU AI Act Readiness & AI Literacy Program brings together four practical elements.

‍

1. Discover — Understand your current situation

Identify how AI is being used, assess relevant risks, and determine where additional awareness, skills, and guidance are needed.

2. Educate — Build AI literacy across your organization

Provide accessible AI awareness training for employees, supplemented with role-specific learning tracks for professionals, Product Owners, Scrum Masters, managers, and leaders.

3. Apply — Turn knowledge into responsible practice

Help teams establish practical agreements for using AI, evaluating outputs, protecting sensitive information, and maintaining appropriate human oversight.

4. Demonstrate — Make your progress visible

Document learning activities, participation, guidance, and identified improvement actions. Create a practical record that supports internal governance, ongoing improvement, and relevant compliance efforts.

The goal is not simply to complete a training course.

‍

It's to build an organization where people understand AI, use it responsibly, and can demonstrate the steps taken to prepare for an AI-driven future.

‍

Beyond compliance: make AI a competitive advantage

‍

Preparing for the EU AI Act shouldn't become another box-ticking exercise.

Organizations that invest in AI literacy can also create opportunities for better decision-making, more effective collaboration, faster product development, and smarter ways of working.

With AgileVisor's expertise in Product, Agile, and AI, we connect responsible AI adoption with practical business outcomes.

Whether you need introductory AI awareness training, a corporate AI learning catalogue, role-specific certification courses, or support establishing responsible AI practices, we can help.
